above months for specific duties pertaining to that month.
PTAs primary purpose is to support and advocate for children and
youth
1.
Make
everyone feel welcome
2.
Never
turn away a volunteer - break the job down into pieces
3.
Your
VPs are there to help you. While
PTA does not recognize co-presidents, a VP can function as an aide.
Define and give the VP specific duties in your Standing Rules.
4.
Recite
the PTA Mission before each meeting.
This helps to keep a focus on children and youth during the
meeting.
5.
It is
your job to prepare the agenda and lead the meetings.
6.
PTA meeting
follow Robert's Rules of Order. It
is a set of rules for conduct at meetings that allows everyone to be heard
and to make decisions without confusion. If your PTA does not have a copy,
buy one.
7.
Communicate
with the executive board regularly. Forward the Focus email
newsletter and distribute
pertinent information to the executive board.
10.
Delegate,
delegate, delegate. Rely on your board members to spread the work.
11.
Try to
attend all PTA Council general meetings. Meetings are usually the
first Monday of the month and are noted on the HCPSS School Calendar
and on the website. If you
are unable to attend, set up a schedule so the vice president attends.
Each local
PTA has the right to three votes at each PTA Council meeting (president
and two delegates).
12. You
are responsible for all written material coming from the PTA.
Exercise final approval before printing
13. The
principal does not determine how PTA funds are spent. The budget committee, chaired by the Treasurer, makes a draft
budget for approval of the general membership.
14. If
you are requested by the media to provide a statement, ascertain the
request and say that you will call them back. Prior to
returning the call, collect information if needed and prepare the
statement.
15. Understand
your bylaws! Be aware of who are voting
and non-voting members of the executive board. Other
members may attend the executive board meeting, however, they are
observers.
16.
Are your bylaws up for renewal within the next year? Form a
special bylaws committee to review and update to bring to the executive
board for approval and then for approval by the general membership.
